What do I need for a hospital bedside notarization?
The patient needs a valid photo ID and must be alert and able to understand what they are signing. Have the document ready but unsigned. We coordinate with nursing staff on room access and timing.
Bedside notarization is one of the most common situations we handle across Southwest Ohio. When a hospital signing is needed, the path is almost always the same — we coordinate with staff, verify the patient is ready, and complete the certificate calmly without disrupting care.
Before We Arrive
Most hospital signings come together quickly once we know the basics. Tell us the hospital, the floor or unit, the room number, and the document type when you call. If visiting hours or ICU access notes apply, share those too — we'll work around them.
A few items to have ready at the bedside:
- A current photo ID for the patient (driver's license, state ID, or passport)
- The completed but unsigned document — the patient signs while we watch
- Any witnesses the form requires (we can advise if this is unclear)
If anything is missing, call before we dispatch. We'd rather resolve it on the phone than at the bedside.
When We Get There
We check in at the nursing station and ask staff when the room is clear for a short visit. The conversation with the patient is brief and unhurried — we're confirming they recognize the document, understand what signing means, and are doing it of their own free will. Medication or fatigue don't automatically disqualify someone; present awareness is what matters.
Most bedside visits take about twenty minutes from arrival to completed certificate.
